Record to report (FI/CO)

Where every logistics step lands in the books, how account determination picks the accounts, and what month-end close involves.

Every goods movement is also a journal entry. Here's how SAP picks the accounts.

In SAP, logistics and finance aren’t separate worlds. Each goods receipt, goods issue, invoice and payment creates an accounting entry automatically, and in S/4HANA all of them land in one table, the Universal Journal (ACDOCA), together with their controlling details such as cost center, profit center and order.

The postings you’ll meet most often:

Business eventJournal entry
Goods receipt for a purchase orderDr Inventory / Cr GR/IR clearing
Supplier invoiceDr GR/IR clearing / Cr Supplier (payables)
Payment runDr Supplier / Cr Bank
Components issued to productionDr Consumption, charged to the production order / Cr Raw material inventory
Post goods issue to a customerDr Cost of goods sold / Cr Inventory
Customer billingDr Customer (receivables) / Cr Revenue, plus tax
Customer paymentDr Bank / Cr Customer

How does SAP know which G/L accounts to use? Account determination. For materials management it’s configured in OBYC: the material’s valuation class combined with a transaction key, such as BSX for inventory, WRX for GR/IR and PRD for price differences, points to the account. For sales, VKOA finds the revenue accounts. If it’s set up wrongly, quantities are right but the financial statements are wrong, a mistake that’s hard to spot.

Price control matters too. With moving average price (V), the stock value updates with each receipt; with standard price (S), stock is valued at a fixed price and differences go to a price difference account.

Controlling (CO) adds the management view: cost centers, profit centers, internal orders, product costing and margin analysis. Month-end close brings it together: open the next periods, clear GR/IR, post accruals, revalue foreign currency, run depreciation, settle production orders, then produce the statements. The close is only as clean as the logistics postings feeding it.

Words to use

Account determination
Configuration that maps logistics transactions to G/L accounts (OBYC, VKOA).
Valuation class
Material master field that links a material to its inventory G/L accounts.
Price control (S vs V)
Standard price, fixed with variances posted separately, versus moving average price, updated by each receipt.

OBYC keys and valuation classes in more detail, moving average price recalculated by hand, the Global Bike typo explained, and the month-end close in transactions.

Account determination in more detail

OBYC combines the chart of accounts, a valuation grouping code (to treat plants differently if needed), the material’s valuation class and a transaction key to find the account. Key transaction keys:

KeyUsed for
BSXInventory postings (every movement that changes stock value)
WRXGR/IR clearing
PRDPrice differences (mainly with standard price)
GBBThe offsetting entry for inventory postings, refined by modifiers such as VBR (consumption), VAX/VAY (goods issue for sales), INV (inventory differences) and BSA (initial stock entry)
UMBRevaluation gains or losses

Standard valuation classes include 3000 for raw materials, 3100 for trading goods, 7900 for semi-finished and 7920 for finished products, each pointing to its own inventory account.

Moving average price, worked

Worked example: a new receipt changes the average

Stock: 100 units valued at 25.00 each (2,500). A goods receipt brings 300 units at the PO price of 25.50 (7,650).

New moving average price = (2,500 + 7,650) / 400 = 25.375.

When a later invoice differs from the PO price and the material uses moving average price, the difference is posted to the inventory account (BSX) and the average updated, as long as enough stock remains to absorb it. That is what happened with the Global Bike typo: an invoice entered at 2,500 instead of 2,550 created a difference aimed at the inventory account. With standard price, the same difference would have gone to the price difference account (PRD), leaving the stock value unchanged.

The close, in transactions

  • Periods: open the new posting period in FI (OB52) and in materials management (MMPV).
  • GR/IR: analyse and clear old items, then reclassify balances for the balance sheet.
  • Foreign currency: revalue open items and balances (FAGL_FCV).
  • Fixed assets: run depreciation (AFAB).
  • Production: calculate work in process and variances, and settle orders (CO88).
  • Reporting: produce the financial statements and management reports.

Controlling in S/4HANA, the material ledger, lower-of-cost valuation, why a goods receipt can fail on a closed period, and what makes a close fast.

Controlling in S/4HANA

  • Cost center accounting: costs of departments and functions.
  • Internal orders: costs of projects, campaigns or events.
  • Product costing: standard costs, actual order costs and variances.
  • Margin analysis: profitability by customer, product and region. In S/4HANA the account-based approach (margin analysis) is the standard, and because postings land in ACDOCA, finance and controlling report from the same line items.

The material ledger

The material ledger is always active for inventory valuation in S/4HANA, recording values in several currencies or valuations. Companies can also use actual costing, which collects price and exchange-rate differences during the period and revalues inventory and cost of goods sold to actual cost at period end.

Valuing stock at the lower of cost

Accounting standards require inventory at the lower of cost and net realisable value. SAP supports this with balance sheet valuation functions that compare stock values with market prices, movement rates or range of coverage, and propose write-downs for slow-moving or overvalued stock, which links the slow and obsolete stock stop to the books.

“Posting only possible in periods…”

A goods receipt or goods issue fails with a message that posting is only possible in two specific periods when the materials management period hasn’t been moved forward (MMPV), even though FI’s period is open. Materials management allows postings only in the current and previous period, so the period roll-over at month start is a small step with large consequences.

What makes a close fast

  • Clean logistics postings during the month: receipts on time, invoices matched, orders settled.
  • Automated reconciliations: GR/IR, intercompany, subledgers to the general ledger.
  • A close calendar with owners and dependencies, monitored daily.
  • Exceptions investigated during the month, not discovered at its end.

Say it in 30 seconds

In SAP every logistics event posts automatically to finance: goods receipt debits inventory and credits GR/IR, the invoice clears GR/IR against the supplier, goods issue posts cost of goods sold, and billing posts the receivable and revenue. Account determination, OBYC for MM using the valuation class and keys like BSX, WRX and PRD, and VKOA for SD revenue, chooses the accounts, and in S/4HANA everything lands in the Universal Journal, ACDOCA. Month-end close then clears GR/IR, settles orders, runs depreciation and revaluation, and closes periods.

How does SAP decide which inventory account a goods receipt posts to?

Through automatic account determination in OBYC: the material master’s valuation class, combined with the transaction key BSX for inventory postings (and the chart of accounts and valuation grouping code), points to the inventory G/L account. The offsetting GR/IR posting uses key WRX.

What is the difference between standard price and moving average price?

Standard price (S) values stock at a fixed price; any difference between that and the actual purchase or production cost goes to a price difference account. Moving average price (V) recalculates the stock value with every receipt at its actual price, so differences flow into the stock value while stock is available.

Why do old GR/IR balances worry auditors?

They mean goods were received but never invoiced, or invoiced but never received. That can signal missing liabilities, duplicate or wrong invoices, or unposted receipts, so they’re reviewed and cleared at period end.
